For all data protection matters and to exercise your rights, you can reach us at: Contract Cost Care Ltd, contract@costcare.cc.

3. Supervisory Authority

The competent supervisory authority is the Cypriot data protection authority (Office of the Commissioner for Personal Data Protection, Nicosia). Data subjects who are habitually resident in Germany or Austria may additionally contact the supervisory authority with local jurisdiction over them.

4. General Information and Legal Bases

We process personal data in accordance with the General Data Protection Regulation (GDPR) and Cypriot data protection law (Law 125(I)/2018). Depending on the case, the legal bases are: consent (Art. 6(1)(a)), performance of a contract or pre-contractual measures (point (b)), legal obligation (point (c)), or legitimate interest (point (f)). The applicable basis in each case is stated in the following sections.

5. Hosting

This website is hosted by Cloudways; the servers are located in the European Union. A data processing agreement is in place with the provider. The legal basis is our legitimate interest in the reliable provision of the website (Art. 6(1)(f)).

6. Server Log Files

When the website is accessed, log data is automatically collected (browser type and version, operating system, referrer URL, hostname of the accessing computer, time of the request, IP address) and processed for the technically error-free provision and security of the website (Art. 6(1)(f)). The storage period is 7 days; after that, the data is deleted automatically.

7. Contacting Us

If you contact us via the contact form, by email, or by phone, we process the information you provide in order to handle your inquiry. The legal basis is Art. 6(1)(b) where there is a contractual relationship, otherwise Art. 6(1)(f); where consent has been given, Art. 6(1)(a). The data remains with us until your inquiry has been dealt with or you request its deletion; statutory retention periods remain unaffected.

8. Appointment Booking

We use Microsoft Bookings to schedule appointments. The booking calendar is merely linked and not embedded in the website — no content from Microsoft is loaded when you visit our website. Microsoft's data protection provisions only apply once you follow the link.

9. Fonts

To ensure a consistent appearance, we use fonts that are provided locally on our server in the EU (self-hosted). No connection to third-party servers takes place and your IP address is not transmitted to third parties. The legal basis is Art. 6(1)(f).

10. No Analytics or Tracking Tools

This website does not use any web tracking, analytics, or advertising tools and does not create user profiles.

11. Applicant and Employee Data

We process applicant and employee data in order to initiate and carry out the employment relationship. The legal basis is § 26 BDSG in conjunction with Art. 88 GDPR as well as Art. 6(1)(b) GDPR. Rejected applications are deleted no later than six months after the conclusion of the application procedure, unless there is consent to longer storage or statutory retention obligations exist.

12. Customer Data / Processing in the Analysis Business

12.1 As part of our contract analysis, we process the service contracts provided by the customer. Where we process on behalf of the customer, this is done on the basis of a data processing agreement (Art. 28 GDPR). For our own purposes, such as the anonymized benchmark methodology, we act as an independent controller.

12.2 The tools and AI models used in the analysis process are operated in the European Union.

12.3 Before any processing by an AI model, contract data is anonymized following a fixed process; identifying information is removed.

12.4 Where we use sub-processors (EU hosting as well as an AI model operated in the EU that receives exclusively anonymized data), they are bound by a data processing agreement with equivalent obligations.

13. Transfers to Third Countries

Processing for the website and the analysis business takes place in the European Union; a transfer to third countries is not envisaged. Should a service have a third-country connection in an individual case, a transfer only takes place with the safeguards of Art. 44 et seq. GDPR (adequacy decision or standard contractual clauses).

14. Your Rights

You have the right to access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20), and to object (Art. 21) to processing based on Art. 6(1)(f). You may withdraw any consent given at any time with effect for the future. You have the right to lodge a complaint with a supervisory authority (section 3).

15. Storage Period and Deletion

We store personal data only for as long as the respective purpose exists or statutory retention periods require it. Our deletion concept applies to client and contract data; after the analysis is completed or handed over, deletion takes place automatically. Statutory documentation and retention obligations remain unaffected.

16. SSL/TLS Encryption

To protect the transmission, this website uses SSL/TLS encryption, recognizable by "https://" in the address bar and the padlock symbol.

17. Changes to This Privacy Policy

We adapt this privacy policy when the legal situation or our processing changes. The version published on this website at any given time applies.
